Privacy and security policies

Users may browse and access information contained within this website without providing any personal information.

You may voluntarily choose to provide personal information, for example when you fill in a feedback form, register your interest to support CCS Disability Action Incorportated, or subscribe to a newsletter. Unless otherwise stated, CCS Disability Action will keep that information secure, use it only to communicate with you, and will not provide it to any third parties without your prior consent.

Privacy Policy for Donors and Supporters

CCS Disability Action is committed to fundraising in a way that enhances the mana of the people we support. We are grateful to our donors; their support is crucial.

This privacy policy sets out how we collect and use personal information from donors and supporters. In this policy, CCS Disability Action is referred to as we, our or us.

We collect personal information when you:

  • Donate to us, either through our website, by post, or over the phone.

  • Join our mailing list or request to receive communications.

  • Sign a petition, complete a survey, or enter a competition run by us.

A link to this policy is provided on our donation webpage and in appeal letters that are posted. A link is also included in our thank you letter when we issue donation receipts.

What data do we collect, and why do we need it?

We collect personal information for fundraising and marketing purposes:

  • Your name.

  • Your contact information – phone, email or address.

  • Your interests – e.g. your local CCS Disability Action branch and contact preferences.

  • Billing information.

  • Interactions and communications with us and our systems.

  • Responses to our electronic communications (including which emails you open, links that you click on, any comments you make, and your location).

We collect this personal information to:

  • Provide donation receipts.

  • Keep you updated on our work, to show the impact of your donations.

  • Build and maintain a relationship with our supporters, to grow fundraising income which supports our work.

Unsubscribe from fundraising communications.

You can unsubscribe from our mailing lists at any time. Contact Support@ccsDisabilityAction.org.nz. An unsubscribe link is included in all our email communications. The only communications you will receive after you unsubscribe are donation receipts, if applicable.

Where we have acquired prospective donor details from a third party, we include a disclosure statement on the email or letter to you, stating who we purchased your details from and providing a link to their privacy policy and details on how to unsubscribe.

Third parties that perform services on our behalf.

Besides our staff, we sometimes share your information with suppliers and other third parties that we employ to perform functions on our behalf:

  • Print service providers and mailing houses - to send our communications.

  • Payment processors to securely process donations.

  • IT services, for example, cloud-based databases.

  • Other third parties as required.

Third parties are given limited personal information that they need to perform their functions. Our contracts with them protect your information from any unauthorised use and ensure your data is destroyed once its function is complete. 

Personal information may be stored in third-party storage facilities and cloud storage located inside and outside of New Zealand.

Your credit or debit card details are only used to process your donation. They are stored securely by our third-party payment processor. Only selected staff have access to our payment processing portal where they can only see the last four digits and expiry date of your card. Your full credit card number is never visible, instead we use a token number that the payment processor advises, to process recurring payments.

If you send us payment details by post, we blackout the card details on the donation slip after the payment is processed. The hard copy of the donation slip is stored securely for seven years after processing.

Providing your personal information is optional, depending on the way you donate:

  • If you choose not to provide a name and email or address, we won’t be able to provide a donation receipt.

  • You can donate anonymously, if you wish to, by giving by internet banking.

  • Our online donation form requires an email, to prevent false transactions.

Mobility Parking Permit Scheme

We have run the Mobility Parking Permit Scheme for over 30 years, providing over 170,000 Kiwis with greater access to their communities.

  • If you added a donation to your Mobility Parking Permit Scheme application or renewal form, your details are also added to our fundraising database, so we can send you donor updates quarterly.

  • If you select the tick box on the Mobility Parking form to receive updates from us, your details will be added to our fundraising database, and you will receive supporter updates quarterly.

  • The previous version of our permit application form, which is still in circulation, has an opt-out box for other communications from us. We occasionally add contacts that did not opt-out to our quarterly fundraising appeals. If they do not respond to the appeal, we remove their details from our fundraising database. Once the old version of the form is out of circulation, this process will stop.

  • You can opt out of all fundraising communications or set your preference for these communications, e.g. annually or 6 monthly, at any time by contacting Support@ccsDisabilityAction.org.nz or 0800 227 200.

How we use your personal information after you donate

We send regular updates on our work to show how your donation helps us to provide services to the people we support. You can tell us how often you’d like to hear from us and choose to get updates by post or email. You can also unsubscribe from our mailing lists. We keep your information safe in a secure database. Only certain staff are allowed to access donor information – for example, if they are responsible for processing donations, answering donor queries, or working on fundraising campaigns.

We keep your information for seven years after your last donation, at which point we securely destroy it by erasing all digital records from our fundraising database.

If you make a large donation, we may also use your information to:

  • Contact you to say thank you by phone, email or post.

  • Create a donor profile for donor stewardship.

  • Credit you in our Annual Report, to show our gratitude for your support. When we make thank you calls for large donations, we ask if you would like to be credited. If you prefer to stay anonymous, we record that preference.

  • Keep notes of any gift conditions or preferences for areas of our work or regions that you would like to support.

Donor Research

As part of our fundraising efforts, we identify donors and prospective donors who may have the ability and inclination to support our work. We do this through research.

Donor research lets us understand your interests and capacity to give. This helps us to plan fundraising campaigns and use our limited resources wisely. Donor profiles also help senior managers become familiar with the major donors in their region and build relationships, thanking donors for their past support.

This research may include collecting and processing information about you that is publicly available, as well as information that you have provided to us. A profile may include a summary of donations and interactions with us, areas of our work that you are interested in, and a summary of any relevant information that is publicly available. The personal information we collect to conduct research can include:

  • Current employment or business details

  • Career highlights and other lifetime achievements

  • Wealth and philanthropic interests

  • Media articles

  • Other information that you have decided to share with us.

Profiles are stored securely in our fundraising database for use by staff that process donations, so they can provide excellent customer service. Profiles are also saved in a password-protected file for senior managers who make thank-you calls to donors.

Your Rights

You have the right to ask for a copy of any personal information we hold about you, and to ask for it to be corrected if you think it is wrong. Security Policy

The online payment pages use current encryption techniques to safeguard access and information. Users are asked to read any terms and conditions or disclaimers attached to individual pages.

Refund Policy

If at the time of making a payment you decide that the amount you entered was incorrect or you wish to withdraw your donation or payment, please contact our National Office on 0800 227 200 for a refund. You will have 30 days to lodge your request for a refund.

Currency Policy

We only accept New Zealand currency. If you would like to donate or make a payment to CCS Disability Action from outside New Zealand then you can donate in New Zealand dollars. However, please note your credit card company will charge you the relevant conversion charge.
